The way the updated course has been set up, you needed to somehow copy and paste your Excel spreadsheets into this document, along with pasting both the Project Charter template and the Scope Statement template.
That’s a lot of finessing with MSWord which many of you are perfectly capable of doing, but it’s still a pill. So, I’ve come up with a way to simplify our lives. I’ve set this template up to handle both parts of the Course Project in MSWord for you!
• In the Project Introduction Section, you need to tell us about the back story. What is the problem, why do we have it, what do you plan to do about it, and anything else that is different or new about your solution to the organization?
• The next section is the Charter. Just fill it in as per our discussions in Week-1.
• The next two sections are the Stakeholder Engagement Plan, and the Communication Management Plan. Rather than somehow cram them in this document, I’ve added a reference to say you will attach them as a separate Excel file.
• The next section after that is the Scope Statement. Just fill it in as per the discussions in Week 3.
• The final section is the Microsoft Project Plan. Again, I’ve added a reference to say you will attach that as a separate file.
So, when you submit Course Project Part I to the grade book it will be as 3 separate files.
1. This file with your Project Charter and Scope Statement filled out.
2. An Excel spreadsheet (Called MGMT404 Planning Templates) with 2 of the 3 tabs filled in (your Stakeholder Engagement Plan, and your Communication Plan)
3. A copy of your .MPP file (which is your schedule in Microsoft Project)
COURSE PROJECT PART II
When you submit Course Project Part II to the grade book it will be as 3 separate files.
1. This file with your updated Project Charter and Scope Statement (with changes requested from the Part I grading)
2. Your updated MGMT404 Planning Templates (with changes requested from the Part I grading) with the 3rd tab filled in (your Risk Register)
3. A copy of your updated .MPP file (with changes requested from Part I grading) and updated with your schedule and budget values). NOTE: I want your
.mpp file because I can always run the resource allocation and budget reports if I have the file, and I can see how you have set things up in the plan if I find issues.
Project Introduction
In this introduction, I will introduce the Getta Byte software project. The goal of this project is to bring to operation a new billing system. This billing system will streamline our company’s billing arrangements and save precious Time and money. The software when installed will offer a concise, easy, and fast data entry system. The system will operate through a cloud/VPN net and will be tracked by security redundancies starting from the bottom up. The result should ease both the user and operator experience. There are some concerns about this project. First would be that the older system is manual and very time consuming the new system is much faster, however, has some technical hurdles for the operators to learn. This will require training of all key personnel and operators. The next hurdle is the 30-day time frame to put the system into operation. The CEO and CFO laid this timeline out and it must be adhered to. Fortunately, the physical hardware outside of the desktops that are to be added to the center is minimal and most of the work will be training and setting the system up in the cloud. The system is pre- arranged to our need via third party so, it should make the transition easier.
The scheduled piloting of the system is slated for March 1st. With that being said, the development and status check of the system is expected to the 15th of February. This will give us enough time to train and test the system up to the pilot on the first of march. The project has a budgeted of $ 250, 000 from start to finish. Therefore, the work shall be scheduled accordingly, and individual tasks split to enable the project team to carry out all duties with little or no friction.
Management
The Project Charter will seek out all the needs of the project. The on exclusion to this will be the project manager so they can focus on the orchestration of said project. The manager will be responsible for picking the teams associated i.e., human resource manager, the software engineer, the project coordinator, as well as the individuals who will carry out other various tasks set out by the project manager. There will be individual responsibility for each task and the person responsible for that task. The project manager is to be expected to employ a well- rounded communications plan and filter down the material and costs that are associated with the project. In addition, an adherence to the schedule set out must be top priority although it is better to get the job done right and a little late than on time all wrong.
Internal and external Factors
The first risk factor is to create an environment in which operators can learn new software internally, which will be challenging. Watching out for personnel latency and dis interest will be one of our top priorities. This will require us to maintain moral demeanor in the training environment. Ultimately, the Project team needs to be aware of the possible risks the project can bring.
